Track what you spend
Every tank of gas, bag of mulch, and parking fee: get it on the books and it’s there at tax time. Two ways in: start with the receipt and let the AI do the typing, or type it yourself.
Start with the receipt
Section titled “Start with the receipt”Expenses → + New expense opens by asking which way you want to go: Start with the receipt, or Type it in. (Duplicating an existing expense skips the question.)
Hand it the photo and the AI reads it while you watch, then pre-fills the merchant, total, date, and a suggested category for you to review. One save creates the expense with the photo already attached.
If the read fails, nothing is lost: “Couldn’t read the receipt this time. Fill it in below, the photo will still be saved.” A partial read keeps whatever it did work out. And on a workspace with no AI connected, the form tells you receipts aren’t read automatically; the photo still saves with the expense.
Type it in
Section titled “Type it in”- Vendor: type the name. Pick a match from your contacts, or just leave it as typed; you can also add them as a new vendor on the spot.
- Amount and Date.
- Category: pick from your business’s category list (Supplies, Fuel, Repairs & Maintenance…). Not sure? Hit ✨ Suggest and the AI proposes one from what you typed. You still review and save.
- Paid from only appears if you’ve added more than one account (checking, a credit card, the cash box), so the money comes out of the right place.
Click Save expense, done.
Attach the receipt
Section titled “Attach the receipt”Open the expense and use the Receipt panel. JPEG, PNG, or PDF, up to 10 MB. On your phone, the file picker opens straight into the camera. The image is kept with the expense, so “find the receipt” stops being a shoebox problem.
Need it back? Every receipt can be downloaded from the page that shows it, saved under a name that makes sense outside the app too, built from the merchant and date (“receipt-home-depot-2026-05-20.jpg”).
Let the AI read it
Section titled “Let the AI read it”With a receipt attached, Auto-fill from receipt has the AI read the image (merchant, total, date, and a suggested category) and pre-fill the edit form, marked as pre-filled from your receipt for you to review. Nothing is saved until you say so.
The model never sees your original photo. It’s sent a shrunken copy, made in memory and thrown away, which keeps reads fast even on a local model. The receipt stored with your expense stays the full-resolution original, because that photo is your proof.
If a receipt comes in without a vendor matched, the expense is flagged Needs review so it doesn’t quietly rot. The list has a filter for exactly these.
Fixing and finding
Section titled “Fixing and finding”- Edit and Duplicate work as you’d expect (Duplicate resets the date to today).
- Delete takes an expense off your books but keeps it behind Show deleted, where it can be restored. The receipt image is kept.
- The list filters by date, category, and vendor, and each expense keeps a full History of who changed what.
